Electronic Health Record FAQ



The most basic definition of an electronic health record, frequently called and EHR, is a digital version of a patient’s complete medical record.

EHRs are real-time, patient-centered records that make information available instantly and securely to authorized users across more than one healthcare organization. They contain information from all clinicians involved in a patient’s care including their medical history, diagnoses, medications, treatment plans, immunization dates, allergies, radiology images and laboratory and test results that providers can use to make care plans.

Currently, Summit Pacific Medical Center uses several programs to register patients and manage their records. This means that patients have to give and employees have to enter the same information identically multiple times. That leaves more room for error and can be frustrating for our patients.

In order to do the best for our patients, we need to have the best tools. Therefore, the EHR will allow us to streamline patient care even further by giving all members of the patient’s care team access to the patient’s latest information. With just a few keystrokes, lab and diagnostic imaging results and prescription details are available for the patient’s medical team allowing for more coordinated, patient-centered care.

On January 1, 2017, when we implement MEDITECH, our new electronic health record, you can expect to see:

Better coordinated care. Patient’s most recent health history, lab work, allergies and medications are kept together in one place, making your health information available within any of the SPMC clinic locations  and hospital departments including urgent care so all of your different providers have access to information needed to provide the best care.

Online test results. Following routine doctor visits, patients can view lab and radiology results using the online patient portal, within 72 hours after your appointment.

Care from anywhere. Your medical records follow you throughout the U.S. and are electronically accessible in other doctor offices, hospitals or health agencies who use MEDITECH.

Safer prescriptions. Your prescriptions will be ordered electronically, which prevents drug-to-drug or allergy interactions.

New and improved Patient Portal. SPMC will be transitioning to a new patient portal. This unique online tool offers patients a simple and convenient way to manage their healthcare, how, where and when it is best for them. Your Patient Portal account is completely secure, free to use and is available 24 hours per day.

You may already hear staff members talking about the EHR as they have already began training with the new system.

While the development and implementation of MediTech 6.1 across our system has required significant attention, dedication and work by our providers and staff over the last year, no major impacts will be felt by patients before the launch of MEDITECH on January 1, 2017.

You may notice that the registration process may take a bit longer than usual the first time or two you have an appointment in 2017. Our skilled and knowledgeable registration staff will be familiarizing themselves with the new system and will need to enter your information into the new system.

This is a good time to provide us with your most current information including addresses, phone numbers, email addresses, etc.

We recommend that patients arrive 20 minutes prior to their first appointment in 2017.

From the patient perspective, an EHR is huge. The EHR will provide each person on your care team accurate, up-to-date, and complete information. This will help your care team more effectively diagnose patients, reduce medical errors and provide quicker, safer care.

MEDITECH will allow for a more integrated Patient Portal. The new portal will allow patients to track immunizations and other health maintenance items, print your health information, see provider messages, read medication summaries, view your charges, choose a pharmacy for prescription renewals, see scheduled appointments, labs, diagnostic imaging and manage your health information 24/7 from anywhere.

The appearance of patient invoices will change with the new EHR.

Anyone that had a date of service 12/31/16 or before will receive a bill that is the older format. In addition, patients set up on payment plans prior to 12/31/16 will also keep their payment plans from the prior system.

If you have a balance on your account with our prior system that insurance has not paid or a balance on which you are making payments, you will possibly have two separate bills. One from our old system and one from our new system. They are two separate bills meaning that both will need to be paid or payment arrangements made for both.

If you already utilize our patient portal, you will still need to sign up for our new portal in order to continue to access your records securely online. Unfortunately, records from our current portal system will not transfer into the new system. The new portal will only be able to track services received, test results, appointment requests that take place January 1, 2017 and forward. Please watch for information to come out at the start of the new year in regards to signing up for the new portal.

Yes. Because our new EHR is system wide, all our patients, whether you are a clinic patient, used the ED, or came here for your mammogram, will be able to set up an account on our new patient portal system.


Yes. Although we are doing what we can to minimize wait times (lots of training, increased staffing, etc.), there is no way to avoid the fact that staff will move slower through the new system when we first start. In addition, staff will be working to double check that all your information in the new system is correct and to see if you will want to enroll into the new patient portal system. Both of those actions will add a couple extra minutes to the registration process.

Since providers and support staff will be slower moving through the system, we will be scheduling fewer appointments per day for the first month, as we anticipate each appointment to take a bit longer than usual. This may result in patients not being able to get into their provider as quick as they are used to. Please remember that in addition to our Urgent Care clinic (which will be experiencing longer than normal wait times as well), SPMC also offers a Virtual Care clinic that can be accessed 24/7 from anywhere via a smartphone or computer. This service will not be affected by the new EHR implementation, so wait times, if any, are short. To learn more or to access this service, click here.
